Service-design relevance - created repeatable guidance and communication systems so participants could act independently

Project focus - Planned and delivered multi-stakeholder cultural and education events by creating clear coordination systems, guidance materials and communication processes.

The Challenge - Events involved students, teachers, performers, volunteers, host families and venues.  Without structured coordination, participants depended on personal assistance, information was fragmented, and preparation was inconsistent.

My Role - Program delivery and operations planner responsible for communication flow, participant guidance and execution readiness.

What I Did

• Created participant guidebooks and event documentation

• Coordinated performers, venues, transport and schedules

• Managed communication between schools, volunteers and organisers

• Developed a pooling website for shared information

• Structured event run-of-show and preparation steps

Key Decisions

• Provided clear instructions so participants could act independently

• Anticipated common questions and addressed them in advance

• Standardised communication across multiple groups

• Treated preparation as important as the event itself

Outcome

• Smooth event execution

• Over 300+ student participants across schools

• Large public showcase events (up to ~800 attendees)

• Positive media coverage and repeat participation
